Privacy notice

Skoutd local edition · Updated 21 October 2026

1. This edition and who controls the data

This is the Skoutd local edition. The person or organisation operating this copy controls its accounts, jobs, applications, and recruitment records. It is a recruitment workspace, and this notice describes the behaviour implemented in this copy.

2. Information the workspace stores

Recruiter accounts include a name, email address, password hash, and profile information you choose to add. Job applications include the applicant’s name, email, resume, optional cover note, consent record, and private status token. The recruiter can add private notes, change hiring stages, and keep communication records.

3. Why information is used

Application information is used to receive and review applications, manage recruitment stages, and communicate with applicants about their opportunities. A private status link lets the applicant view a limited application status. Recruiter notes and the internal pipeline are not displayed on that page.

4. Local storage

Account and recruitment records are stored in the PostgreSQL database configured for this copy. In the default local setup, resume files and local email previews are stored in the private .data directory on the machine running the app. They are not part of the public website assets. The operator is responsible for access to this machine, backups, and any deployment configuration.

5. Access and private links

Authenticated recruiters can access their own workspace records and associated resumes. Resume downloads use checked access and temporary signed links. Application status links grant access to limited status information to anyone holding that link, so keep them private. Public recruiter pages show the profile information and active roles the recruiter chooses to publish.

6. Email and optional services

Without a configured email provider, email is saved in the local outbox for review and is not delivered to the recipient. If the operator configures Resend, recipient addresses and email content are transmitted to that service for delivery. Any optional integrations enabled by the operator may have their own privacy terms.

7. Retention and deletion

Recruitment records remain until the recruiter removes the application or deletes the account. Associated local files and outbox records are removed by the implemented deletion flows. Unclaimed local uploads are eligible for cleanup after 24 hours. Database or machine backups may retain older copies under the operator’s backup policy.

8. Your choices and requests

Submit an application only after reviewing the role and the data requested. Applicants who want access, correction, or deletion should contact the recruiter managing their application through the contact channel they used for the role. Recruiters can use the workspace application tools and the account deletion option in Settings. Removing information from the app does not remove copies already downloaded or emailed outside it.

9. Cookies and analytics

The app uses authentication cookies to maintain signed-in sessions. No third-party analytics integration is enabled in this local edition. The hosting operator may separately configure network or server logs.

10. Before using this with real applicants

The operator should publish its own identity, contact details, retention policy, and any required privacy terms before offering this copy to real applicants. This local notice describes app behaviour; it is not a certification of legal compliance.
